How you will use it
1. Start with the contract
Save a copy per job. On Job cost, enter a project name, the original contract and approved changes only. Enter monetary values in USD.
2. Set the budget
Enter budgets for Materials, Labor, Equipment, Subcontractors, Travel and Other. A blank budget is unavailable; zero is an intentional zero budget.
3. Record the actual charges
On Cost log, enter each cost once with a category, description, quantity, unit, unit rate and record reference. Use quantity 1 for a lump sum. Use negative quantity for a credit.
4. Enter the cost to finish
Forecast profit stays blank until you enter the remaining cost forecast. Enter zero only when no more cost is expected. Other overhead must exclude costs already in the log or forecast.
5. Review exceptions
Check uncategorized costs and lines needing input. The overall recorded total includes calculable uncategorized charges; category totals use the listed categories.
A fictional worked example
| Input / result | Fictional example |
| Original contract + approved changes | $20,000 + $1,000 = $21,000 |
| Materials | 10 units x $250 = $2,500 |
| Labor | 100 hours x $50 = $5,000 |
| Equipment | 5 days x $100 = $500 |
| Recorded job costs | $8,000 |
| Other overhead + cost to finish | $500 + $3,000 |
| Forecast total cost | $11,500 |
| Forecast job profit / margin | $9,500 / 45.24% |
Forecast cost = recorded costs + other overhead + cost to finish. Forecast job profit = revised contract minus forecast cost. Forecast margin = forecast job profit divided by revised contract. A zero contract has no meaningful margin, shown as n.a. Category variance is recorded cost minus entered budget; a positive variance is over budget. This is a cost forecast, not a revenue-recognition, tax, payroll or cash-collection system.
